Privacy policy.

1. Who we are

JOWIM is published by the Department of Telecommunication Engineering at Politeknik Negeri Padang, Indonesia ("the publisher", "we", "us"). This privacy policy describes how the publisher handles personal information collected through this website, jowim.org. The publisher is the data controller for the purposes of the Indonesian Personal Data Protection Law (UU PDP) and equivalent international frameworks.

2. What information we collect

We collect the following categories of personal information:

• Identification. Your name, email address, and institutional affiliation, provided through the submission form, contact form, registration form, or login form.
• Submission content. Manuscripts, abstracts, figures, tables, and supplementary materials you submit for peer review.
• Reviewer content. Reviewer reports, recommendations, and confidential correspondence between reviewers and the editorial office.
• Technical. IP address, browser type, referrer, and timestamp of requests, captured in our server access logs. We do not use third-party analytics on this site.
• Session. If you create an author cabinet account, we store your session token in your browser's localStorage under the key jw_session. This is a per-device record only.

3. How we use your information

Personal information is used for the following purposes:

• To process, peer review, and publish submitted manuscripts.
• To communicate with authors and reviewers about their submissions.
• To maintain the integrity and security of the publication record.
• To respond to enquiries sent through the contact form.
• To comply with legal obligations and respond to lawful requests.

We do not use your information for marketing. We do not sell or rent your information to third parties.

4. Legal basis

We process your information on the following legal bases: performance of a contract (publishing services), legitimate interest (running the journal), consent (where required by law), and legal obligation (record-keeping and compliance).

5. Disclosure to third parties

We disclose personal information only to the following categories of recipients:

• Reviewers. Submitted manuscripts are shared with assigned peer reviewers under confidentiality agreements.
• Service providers. Formspree (form delivery), the institutional repository at Politeknik Negeri Padang, and indexing services (Garuda, Google Scholar, Index Copernicus, Dimensions). Each provider is bound by its own privacy policy.
• Indexers and aggregators. Published article metadata (title, authors, abstract, DOI) is shared with indexing services per the journal's indexing policy.
• Legal. Where required by valid legal process or to protect the publisher's rights.

6. Retention

Published article metadata is retained in perpetuity as the canonical record of the journal. Manuscript files, reviewer reports, and correspondence are retained for at least 10 years after publication. Account data in localStorage is retained until you clear your browser's site data; the publisher does not have access to it.

7. Your rights

Subject to applicable law, you have the right to:

• Access the personal information we hold about you.
• Correct inaccurate or incomplete information.
• Request deletion of your information, subject to the publisher's retention obligations.
• Object to processing or withdraw consent.
• Lodge a complaint with a supervisory authority.

8. Security

We use TLS encryption for all data in transit. Manuscript files are stored on access-controlled systems at Politeknik Negeri Padang. Formspree submissions are stored on Formspree's servers under their security policy. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.

9. Changes to this policy

We may update this policy from time to time. Material changes will be announced on the journal's home page. The "Last updated" date at the top of this page reflects the current version.
